Steps to Completing the Community Grants Program Application

Step 1 - Eligibility

You must review the Community Grants Program Guidelines and Eligibility Criteria document carefully before filling out an application. Applications will not be considered if the eligibility criteria is not satisfied:

If you are looking to apply for grant funding for a community event please also refer to the City of Salisbury Community Event Sponsorship Program page and review the eligibility. You may feel the Community Event Sponsorship Program funding better suits your organisation’s needs, noting that organisations cannot apply for the Community Event Sponsorship Program and the Community Grants Program within twelve months of each other (i.e. you can only apply for one or the other, not both) providing all other criteria is met.

Step 2 – Guide to Completing the Application

The Community Grants Program Guide to Completing the Application Form is provided to assist eligible organisations in completing the application. This document explains what content is required for the application to meet the criteria and therefore avoid delays in assessment and potential funding. This document is intended for you to review as you complete the application.

Step 3 – Application

Before applying, you must thoroughly read and understand the guidelines to determine whether your organisation meets the eligibility criteria for funding. If you are unsure, contact the Community Grants Program (details listed at the bottom of this page).

We prefer that an electronic application is completed but understand that this may not be possible for everyone. You must ensure that the Application is completed in its entirety and the handwriting is neat and legible.

If there is insufficient space for all of your information you should attach a separate page with the additional information ensuring that you refer to the section of the application that the information belongs to.

A copy should be printed or scanned and held by your organisation as a record with the original posted to the City of Salisbury along with all required attachments.

The electronic application form is a fillable pdf and is best completed using Adobe Acrobat Reader DC for Windows or Mac, depending on your computers operating system. In doing so, you should not encounter any problems completing, saving, printing and submitting the application.

The fillable pdf fields are set up intentionally to allow for a certain number of characters, drop down options, calculate totals and will self-populate some fields based on information you provide.

Overwriting the form by using an ‘add text’ or ‘typewriter’ feature will most likely result in loss of functionality and you may not be able to submit or print the form and the totals may not calculate automatically. We may request that a new application is completed if it is apparent the fillable form has been overwritten or the settings have been manipulated in any way.

If the field does not allow sufficient characters for all of your information you should attach a separate document with the additional information, ensuring that the section(s) of the application the information belongs is referred to.

Adding an electronic signature will result in an error when attempting to print or submit the application. While the application form is electronic, electronic signatures are not permitted. Applicants must complete and print the Application Declaration (page 12) and each senior office holder must sign by hand. The same applies for the Declaration Where No Australian Business Number is Required (page 13), if applicable to your organisation.

To ensure your application is complete you should click the ‘check the application before printing or submitting’ button on page 1. Missing information will return an error and should outline what fields are blank. If you click the button and nothing happens it means you have successfully completed all fields.

A copy of your completed application should be printed or scanned and/or saved and held by your organisation as a record.

Once complete you may:

  • print and post the application to the City of Salisbury along with all required attachments (a print button is located on the top right corner of page 1).
  • email the application to the City of Salisbury. The email button is located on the top right corner of page 1. Once clicked, a dialogue box will open for you to select your 'default email application' or 'webmail', or, an email will automatically open. The email will open with sections automatically filled in for you and the application attached. You should update the ‘Subject’ to read: Community Grants Program Application – [name of your organisation] (or similar) and include (attach) a scanned copy of the signed Application Declaration page, Declaration Where No Australian Business Number is Required page (if applicable) and other relevant attachments as outlined in the application and Guidelines and Eligibility Criteria.

After Submission of your Application

An acknowledgement letter will be posted to the contact person listed in the application confirming receipt of the Application.

The contact person listed in the application will be notified by post if the application is incomplete or does not meet the eligibility criteria.

The contact person listed in the application will be notified the outcome of the application once it has been considered by the Community Wellbeing and Sport Committee. Successful applicants will receive relevant documents via post.

Community Grants Program Acquittal

The grant funding must be spent in accordance with the grant agreement on eligible activities and equipment as defined in the grant details in your grant agreement and Community Grants Program Application. You must not acquit funding for goods or services that have been purchased prior to the date that funding was approved.

An evaluation report must form part of your organisations Community Grants Program acquittal. The Acquittal Form and important information is provided to your organisation throughout the funding process.

Attachment D – Project Evaluation Requirements (page 21) of the Guidelines and Eligibility Criteria document outlines the details required for the evaluation. Although the title states ‘Project Evaluation Requirements’, an evaluation is also required for an event as the organisation in the lead up to the event is essentially a project.
